We are looking for an Events Administrative Assistant to work in the Corporate Services unit.


  • Manage mission orders and reimbursements;

  • Handle correspondence by managing functional mailboxes;

  • Drafting documents in formal English; 

  • Ensure proper document management;

  • Support the maintenance and management of databases;

  • Support in establishing methods to ensure high quality planning, follow up on deadlines; 

  • Maintain constructive relationships with stakeholders;

  • Act as a liaison between the Unit and the stakeholders by providing and requesting information as needed.


  • Excellent knowledge of English (at least B2 level);

  • Good knowledge of Italian;

  • At least 1 year of relevant working experience in providing administrative support within international organisations, preferably in the EU environment; 

  • Knowledge of events/meetings management would be considered an asset;

  • Proficiency in IT tools (Powerpoint, Excel, Outlook, Internet browsers); 

  • Behavioural competencies: working with others; clear written and oral communication; priority setting and planning; analysis and problem solving; communication principles.

Assignment: initial contract until 31/12, with possibility of extensions. Expected duration of assignment 12 months.

Salary: approx €1940 per month before taxes.

Work modalities: office work is required on at least 2 days per week. Remote work is possible within 2 hours from Parma, Italy for the remaining days.
